Booking a Motivational Speaker FAQs
The booking process
How an enquiry becomes a confirmed booking and what we handle for you along the way.
What is the process for booking a motivational speaker through Raise the Bar?
Browse our speakers by topic, industry, or price band, read profiles and watch showreels, then submit an enquiry or call us directly. We’ll discuss your event objectives, audience, and budget, and typically come back within 24 hours with a shortlist of four to five speakers. Once you’ve chosen, we handle the contract, briefing, and logistics from there.
How quickly can you confirm a speaker booking?
For most bookings we can confirm within 24 to 48 hours. For urgent requirements we can turn around a confirmed booking on the same day. The more flexible you can be on speaker and fee, the faster we can move.
Do I need to contact speakers directly?
No. All bookings go through Raise the Bar. We manage the relationship with the speaker, including briefing, contracts, and on-the-day logistics. You deal with us throughout.
What information do you need from me to find the right speaker?
The more context you give us, the better the shortlist. Useful details include your event date and format, the size and seniority of your audience, the topic or theme you want covered, your budget, and any past speakers you’ve used. Even a rough brief gets us a long way.
Can I see a speaker before booking them?
Many of our speakers have showreels on their profile pages. For larger events we can also arrange a brief introductory call so you can get a feel for the speaker before committing.
What happens after I book?
We arrange a briefing call between you and the speaker so they can understand your objectives, audience, and key messages. Our events team then manages all logistics and remains on hand right through to the day.
Costs and contracts
Straight answers on fees, VAT, expenses and what happens if plans change.
How much does a motivational speaker cost?
Speaker fees vary significantly based on profile, experience, and demand. Our roster ranges from around £1,000 to £250,000 plus VAT. The majority of corporate bookings fall between £5,000 and £30,000. We’ll always work to find the best speaker for your budget and be transparent about what’s included.
Are expenses included in the speaker fee?
Not always. Travel, accommodation, and other expenses are either quoted separately or as part of an all-inclusive fee. This will be clearly stated on your booking form and proposal so there are no surprises.
Is VAT charged on top of the speaker fee?
Yes, fees are quoted exclusive of VAT. VAT at the standard rate applies to all bookings.
What payment terms apply?
Payment terms are set out clearly in the booking contract. Typically a deposit is required to secure the booking with the balance due closer to the event date.
What happens if I need to cancel?
Cancellation terms are set out in the booking contract and vary depending on notice period. We always aim to find a practical solution. Contact us as early as possible if circumstances change.
What if the speaker has to cancel?
In the unlikely event a speaker needs to withdraw, we will work immediately to find a suitable replacement at the same fee level or provide a full refund. This has happened very rarely in our history, but we have contingency processes in place.
Choosing the right speaker
Getting the match right starts with your objective, not a name on a list.
How do I choose the right motivational speaker for my event?
Start with your objective, not the speaker. What do you want the audience to think, feel, or do differently after the session? Once that’s clear, we can match topic, style, and profile to your audience. A speaker who works brilliantly for a senior leadership offsite may not be the right choice for an all-staff conference, and vice versa.
Should I prioritise a well-known name or specialist expertise?
It depends on what you’re trying to achieve. High-profile speakers often drive excitement and pre-event buzz, but a credible specialist can deliver far greater impact if the topic is specific. We’ll be honest with you about which approach will serve your objectives better.
Do your speakers work across different industries?
Yes. While some speakers specialise in sectors like healthcare, financial services, or technology, most are experienced at making their content relevant across industries. The briefing call is where that tailoring happens.
Can I book a speaker for a sensitive topic, such as mental health or inclusion?
Yes, and it’s worth taking extra care in the selection. We have speakers with genuine lived experience and professional credibility in areas including mental health, burnout, neurodiversity, and equity and inclusion. We’ll guide you on who is best placed to handle your specific audience and context.
Do you have speakers who can present in languages other than English?
Yes, we have speakers who present in multiple languages. Let us know your requirements and we’ll shortlist accordingly.
Format and delivery
Keynotes, workshops, virtual and hybrid – how speakers show up on the day.
How long is a typical motivational speaker session?
Sessions typically run from 30 minutes to 90 minutes as a keynote. Many speakers also offer half-day or full-day workshops. If you want to extend beyond a keynote, discuss this during the brief as not all speakers offer facilitated sessions.
Can speakers deliver virtually?
Yes. Around half of the bookings we manage are virtual or hybrid. Our speakers are experienced across most standard platforms including Teams, Zoom, Webex, Google Meet and Hopin. For every virtual booking we require a separate technical check in advance – the speaker joins the same environment they’ll use on the day so we can identify and resolve any access or connection issues. We’ll advise on setup to ensure the session lands as well online as it would in a room.
What AV setup does a speaker need?
Most speakers require a screen and projector, a lapel or handheld microphone, and a confidence monitor or clicker. For larger events we work alongside your AV supplier or production company to ensure everything is set up correctly. We’ll share a technical rider ahead of the event.
Can a speaker run a Q&A or panel session?
Yes. Many of our speakers are comfortable hosting or participating in panel discussions and Q&A formats. Some also offer pre-event audience polling or live interaction tools. Confirm this at briefing stage so it can be factored into the run of show.
Is it possible to book a speaker for multiple events or a series?
Yes, and this is increasingly common. A series of talks, a development programme with a recurring speaker, or a long-term partnership arrangement are all things we can structure. Repeat bookings often come at a more favourable rate.
Working with Raise the Bar
One point of contact, 1,000+ speakers, and accountability from brief to event day.
Why book through Raise the Bar rather than directly?
We’ve built relationships with over 1,000 speakers and know their strengths, weaknesses, and suitability for different audiences in a way that a speaker’s own website can’t tell you. We also manage the entire process, meaning one point of contact from brief to event day. If something goes wrong, we’re accountable.
How many speakers do you represent?
We work with a network of over 1,000 speakers globally, covering topics from leadership and high performance to AI, diversity and inclusion, sustainability, and mental health. Our most booked speakers are listed on the site but the full roster is considerably broader.
Do you work with speakers based outside the UK?
Yes. We book speakers internationally and manage international events. International bookings may involve additional logistics around travel, visa requirements, and time zones which we handle as part of the service.
Can you help me plan the wider event agenda, not just the speaker?
Our primary expertise is speaker sourcing and management, but we work alongside event agencies and internal event teams regularly. We can advise on running order, session length, and how to position a keynote within a wider programme.
Are you able to provide a written proposal for internal sign-off?
Yes. Once we’ve discussed your brief we can provide a written shortlist proposal including speaker profiles, indicative fees, and our recommendations. This is often useful for internal budget approval.
Specific use cases
Common briefs we’re asked about, from conferences to change and morale.
What type of events do motivational speakers work best at?
Annual conferences, leadership away days, sales kickoffs, team days, award ceremonies, diversity and inclusion events, and graduation or recognition events are all common bookings. A good speaker can work in almost any format if they’re matched correctly.
Can a motivational speaker help with a low-morale or change situation?
Yes, and it’s one of the most common reasons organisations come to us. Speakers who have navigated significant personal or professional adversity, or who specialise in change and resilience, can have a meaningful impact on teams going through uncertainty. We’ll be careful about who we recommend for this type of brief.
We have a specific message we need the speaker to reinforce. Can they do that?
Yes. The briefing process is designed exactly for this. You’ll have direct time with the speaker to share your context, and most will weave your key messages naturally into their content rather than delivering something generic.
Can we use footage from the event?
This depends on the speaker’s individual terms. Some permit filming for internal use only, others allow broader distribution. We’ll clarify filming rights as part of the booking contract so expectations are clear upfront.
